Administrative Responsibilities

  • Setup Meetings and managing the office’s calendar, MOM, reminders…etc.

  • Managing calls and internal call transfers at the office.

  • Communication point for the office.

  • Managing all internal paper work and processes for the office’s staff (leaves, supply requests…etc)

  • Implementing the organisation internal policy, procedures, administrative systems and keeping them up-to-date.

  • Maintain document standardisation – e.g. document attributes.

Document Control Responsibilities

  • Review all documents issued to the document transfer portal/Common Data Environment (CDE) for compliance with Mid Group QA policies, Information management protocols, BIM protocols and the requirement of PAS 1192.

  • Directly manage consultants to ensure that all information is corrected.

  • Review all BIM models for QA compliance with Mid Group BIM policies and procedures.

  • Act as the primary point of contact for any technical/operational Collaboration Tool issues and questions.                                               

  • Provide the interface between the Collaboration Tool users and Trimble.

  • Organise the project team including adding and removing users from the project team throughout the life of the project and setting user access rights.

  • Maintain the high-level project details recorded on the system.

  • Seek appropriate advice from Mid group team prior to changing folder structure; documenting the changes and/or access permissions.    

  • In conjunction with the Design Managers, define the Issue and Review Groups to be used during publication.

  • Keep the project-wide Issue Groups up to date to prevent superfluous notifications and maintain security.

  • Maintain document standardisation – e.g. document attributes.

  • Carry out QA checks to all incoming documents.

  • Produce protocols for use of the systems in place for each project based on the Mid Group template.

  • Oversea process management of work wining, tender submission and corporate CV.

  • Develop and maintain industry leading design management systems and controls in line with the company's BIM strategy

  • Evolve Document Management tools to help deliver the companies BIM ambition

  • Work with the current BIM support company to advise and shape the company’s existing information management tool.

  • Expand and recommend IT strategy to allow company to make best use of BIM and information systems.  E.g., cloud based systems, tablets and laptops.

Requirements

  • Computer Skills: Intermediate

  • English: fluency in speaking and writing

  • Years of experience: 1 – 6

  • Degree: B.Sc degree / higher diploma

  • Presentable

  • Good Communication skills
